Database Loading
Once the schemas have been created it is possible to commence loading data through the Search facilities. The data described in this section relates to system schemas and system fields only.
Use of Search Facilities
The schemas provided and created can be populated with data electronically, by upload from a file, or manually. To carry out the function manually the Search facilities are used. When selecting the Search option from the Administrators menu the user is presented with a drop down menu which will list all schemas that are available to them.

Having selected a schema a Search screen for that schema will be displayed. An example is displayed below.

The search can be narrowed down by use of the filters at the top of the screen. The user can from this point add a new record, view and edit an existing record or delete an existing record.
Depots
Depots define the operational branches of the company. These are one of the first record types that must be defined within TLP.

Job Prefix This allows you to define a code which will automatically be affixed as the first part of the job number. In the example shown job number 1001 would actually be AK1001.
Use As Default This allows you to determine whether or not you wish to use the prefix. A value of Yes will result in it being applied whereas No will ignore the prefix.
Regions
Regions are geographical areas that are managed from one depot in terms of operations. For example Auckland – North Shore is a region consisting of zones such as Albany, Takapuna etc and operationally is managed by the depot of Auckland.

The depot that manages the region should be set up as this will be applied to a job as a default.
Zones
Zones are the records that detail the collection and delivery points of a job or a movement within a job. Zones are generally a group of post codes.

Zones must be linked to a region and should be linked to a depot.
Region This will populate the region code of a job.
Depot This will populate the From Depot of a job. If no depot code is entered against the zone the system will obtain this from the region record that is stored against the zone.
Post Codes
The post codes will be loaded before you receive your system. The data stored in each post code is shown below.

Initially all post codes will have the suburb details populated and the zone set to “Unknown”. It will be necessary to change the zone against all post codes to the correct zone that you have previously created (See Zones within Database Loading section). The zone code is a required field.
