Bookmarks & Templates
The system allows users to access functionality in one of two ways these being;
- Bookmarks – a bookmark is a stored search view that the user will run many times. An example is a Customer search which you would run if you wished to carry out any customer administration functions.
- Templates – a template is a stored detail view that the user will run many times. An example is a job of a certain type for a client that you will want to load any time such a job is to be created. All common fields would be automatically set based upon the template.
Bookmarks can be set by an individual user for their own use. Templates will generally be set by individual users for their own use. Both of these functions are described in the User’s Administration Guide.
Global bookmarks can be set by the site administrator and made available for the differing roles within the organisation. This process is described in this section.

Creating a Bookmark
Bookmarks are created from the search view. The first step is to run the search, setting the filters to the values you require.

Once these are set click on the Bookmark button located on the search view as shown above. This will open the Bookmark administration screen as shown in the following screen shot.

This screen allows you to position the search on the menu system and to define the roles that are to have access to the search.
Positioning is done by using the folders facility provided. This allows you to place searches in two levels of folders. The highest level is called Folder. This is the level you will see on the menu when first logging into the system. The second level is called Sub Folder and this is the level you will see once you have clicked on the Folder. Please note that a Sub Folder is not mandatory.
The display text is displayed on the menu to describe the search you are book marking.
The roles who are to have access to the search are defined in the table shown above. Bear in mind this enables access but the type of access (read, update etc) is controlled by the permissions applied to the schema.
Bookmark Administration
The Bookmark administration function is accessed from the main menu as shown below. This option is only available to the site administrator. Upon selecting this option a display of all bookmarked searches is displayed.

You can select any particular line by clicking on the edit button which will open the Bookmark administration window as shown on the previous page. From this point any alterations or corrections can be made.
Note that it will be necessary to refresh your browser for any alterations to bookmarks to take effect.
